 How to complete your DBS check and FAQs

 

All volunteers at The Hackney Pirates must be fully DBS checked before working with our Young Pirates. The process involves a lot of hoop-jumping, and can be a bureaucratic nightmare, but we need to get it done, and if you come to the taster session prepared it will make life a lot easier!

Please read all of this page before coming to Taster – most, if not all, queries are answered below.

 

What to bring with you:

       -      Your DBS certificate number and photo ID from List A if you are signed up to the DBS Update                 Service

OR

·         Your passport number and National Insurance number (if you have one)

·         All your home addresses from the last 5 years, including postcodes and the dates you lived there to the nearest month

·          THREE pieces of ID from the lists below.

What to bring with you:

·         Your DBS certificate number and photo ID from List A if you are signed up to the DBS Update Service

OR

·         Your passport number and National Insurance number (if you have one)

·         All your home addresses from the last 5 years, including postcodes and the dates you lived there to the nearest month

·         THREE pieces of ID from the lists below. This bit is important! At least one of them must be from List A and at least one of them must be from List B, and one must show your current address. All must be originals, not photocopies, and downloaded documents are NOT allowed.


 

List A                                                                                 

·         Any current and valid passport

·         Current driving licence photocard (UK or EU)

·         UK birth certificate (issued within 12 months of birth) 

 

List B

·         Utility bill (NOT mobile phone bill) in your name, issued in the last 3 months

·         Bank/building society statement, or account opening letter, or credit card statement, in your name and current address, issued in the last 3 months

·         Council Tax bill issued in the last 12 months

·     Mortgage or financial statement (e.g. pension, endowment) issued in the last 12 months

·         Current driving license photocard (non-UK/EU) OR paper version (UK/EU)

·         UK birth certificate (issued more than 12 months after birth)

·         Marriage/civil partnership certificate

·         NHS card

·         National Insurance Card

·         P45/P60 issued in the last 12 months

·       Valid EU National ID card, UK work permit/visa, letter or sponsorship from future employment, or PASS card

·         Benefit statement issued in the last 3 months

 

FOREIGN NATIONALS: You must bring your passport with you in order to complete the DBS check

 

We will provide you with a DBS form at your volunteer taster session.

 

 

FAQs

 

  • I already have a DBS from another organisation. Can I use that one? No, we need to complete another one for you. However if you are subscribed to the DBS Update Service you will not need to complete an application with us as we can check you online, but we do still need to see a valid form of photo ID. Please visit the DBS Update Service (link above) for details.

 

  • I’m registered with the DBS Update Service. Do I need to complete a new application? No! We can check your certificate online using your DBS certificate number (please bring the number with you) but we also need to see a valid form of photo ID from List A.

 

  • Do I need to pay for the check? No, the check is free of charge.

 

  • What happens if I don’t have all the documents I need? Come to your taster / training session with as much as you can. If you are missing pieces, we will arrange another time for you to come in when you do have them. You must have a completed DBS check before you are able to volunteer at The Hackney Pirates.

 

  • All my statements are online – can I just print them off? No, I’m afraid we’re not allowed to accept internet print offs, or look at your online statement. If you do not have a proof of address because of this, then please visit your bank and ask for a physical statement.

 

  • I don’t have a passport. As long as you can show us a valid UK driving license or a UK birth certificate, that’s fine. Please see the List A and List B document lists.

 

  • I haven’t got a document with my address on it. You can ask your bank to send you a hard copy of your statement. Banks will do this, but it can take up to five working days.

 

  • Do The Hackney Pirates need to keep the documents or take a photocopy of them? No, we just need to check them and we’ll give them straight back to you.

 

  • Can I volunteer if I have a criminal record? Please talk to us at the end of your taster / training session for a confidential conversation about any criminal convictions or cautions you may have. We have an open and fair equal opportunities policy.

 

  • How long does the certificate take to come back? It depends. The average check takes about 3 weeks; some have been much longer. This is totally out of our hands, and is up to YOU to check on its progress, so you know you can make it to your first session. You can track your application on the DBS Tracking site using your application form reference and date of birth.

 

  • Can I start volunteering without a DBS certificate? No I’m afraid not. A DBS certificate is a crucial part of our child protection policy and so you will not be able to volunteer before we have seen your DBS certificate. You must bring it along to your first session if we haven’t seen it already by that point. We have to send you home if we haven’t seen your certificate, so please don’t leave your Young Pirate stranded by coming to your first session without it!

 

  • Can I complete a DBS if I am a foreign national? We can still complete the check if you are a foreign national, or have only recently arrived in the UK. But in this case you must possess either a passport (any country), or a valid UK driving licence. Without one of these, we cannot process the DBS check. Unfortunately this is out of our control.
